The registration forms received by mail will be dated on the day they are received in the Recreational Services office. Registration forms that are dropped off in the Recreational Services office will also be dated on the date they are received. Checks for the registration fee will be cashed when a team is entered into their desired division. Any registration forms without the entire fee enclosed will not be considered.
After each division is full, a waiting list will be created for each division. Waiting list entries will be dated and added into the tournament if spots become available. Checks for teams on the waiting list will be held until they are officially entered into the tournament. If a team on the waiting list does not get entered, the check will be returned.
If the number of entries received on a certain day exceeds the number of available spots in a division, there will be a random drawing to determine which teams are entered and which teams are placed on the waiting list.
The policy for refunds if a team withdraws from the tournament after registering will remain the same. Teams requesting a refund prior to October 31st will receive a full refund. Teams requesting a refund after October 31st but before November 15th will receive a $100 refund. Teams will not be refunded their entry fee if they withdraw after November 15th, unless a replacement team is found at least one week prior to the tournament. If a replacement team is found, $75 of the entry fee will be returned. If a replacement team is not found until the week of the tournament, the team that has withdrawn will receive no refund. Any refund request must be made in writing and include the name, address, and social security number of the person receiving the refund.
Tournament rules and schedules will be sent to teams approximately 10-14 days prior to the tournament. Again this year we will have divisions for 7th Grade Girls, 7th Grade Boys, 8th Grade Girls, and 8th Grade Boys. Championship games in each division will be scheduled at Carver-Hawkeye Arena on Sunday night, pending availability. We will again be selling concessions and Hawkeye Shootout Tournament t-shirts. There will be no fee for specatators.
We are happy to once again be partnering with Heartland Inn Hotels. The Iowa City/Coralville Heartland Inn is the closest hotel to the University of Iowa Field House and Carver-Hawkeye Arena. We have set up a special Hawkeye Shootout room rate of $75.00 on rooms with two beds. Up to 4 of your players, coaches, parents, or fans can share a room. There is also a shuttle service provided by the Heartland Inn to and from the UI Field House. To get the special Hawkeye Shootout room rate, you must call the Heartland Inn at 319-351-8132 by December 1st and be sure to mention the special code: HWK3 to get the special room rate.
